This quick guide explains how to upload payment files in the Files module, which file formats are supported, and how to track their status through the Emissions and Responses tabs. The article also outlines how approval flows work and how to request access to the module if needed.
The Files module is a lightweight submodule within Payments that allows you to upload and track payment files generated outside Embat, typically from your ERP.
These files are transmitted to the bank through Embat’s banking channels and, if correctly configured, can trigger approval flows before being sent.
Currently, the module is focused on a simple, secure upload flow, providing a clear status for each file submission and its bank response.
Supported file types and formats
Only XML files are accepted in the Files module. When uploading a file, you must select the appropriate bank and file format.
The file is transmitted via Editran, which is currently the only supported connection.
Supported formats:
- SEPA34
- SEPA19
- DEV019
- CONFIR
- SCTDIV
- N19_FINANCIADA
- OMFPAG
- REC019
(Other formats may be added progressively depending on bank integrations.)
How to upload a payment file
To upload a file, click the New file button at the top right of the Files screen. A submission form will open with the following fields:
- File: Drag or select your .xml file from your system.
- Company: Choose the company associated with the file.
- Bank: Select the destination bank.

File format: Choose the correct format based on the bank requirements (e.g. SEPA 34 or Confirming).
Once filled in, click Continue to finalise the submission. The file will then be listed under the Emissions tab with its initial status.
Tabs: Emissions and Responses
The module has two main tabs to help you track the lifecycle of each file:
Emissions
This is where all sent files are listed. The following columns are displayed:
- Name: File name as uploaded.
- Bank: Destination bank.
- File format: Selected format (e.g. SEPA 34).
- Company: Associated company.
- Shipping date: Date and time the file was submitted.
- Sent by: User who uploaded the file.
- Status: Indicates the current state of the file.
Possible statuses:
Pending approval – Awaiting approval (if an automation rule was triggered).
Approval rejected – File was rejected during approval.
Sent – File has been sent to the bank.
If a payment approval rule is configured using the Automation module with the condition Type = File, the file will follow the standard approval flow before being sent.
Due to the wide variety of bank file structures, the system cannot parse or preview file contents. Total amounts or number of payments are not displayed.
Responses
This tab displays acknowledgements (ACKs) received from the bank. Columns shown include:
- Name: File name.
- Bank: Receiving bank.
- Provider: Banking channel used (e.g. Editran).
- Reception date: Date the response was received.
- Status: Indicates whether the response has been read.
Statuses:
Unread – New response available.
Read – Response has already been downloaded.
You can click the download icon to access the original response file.
Permissons
Access to the Files module is not enabled by default. If you need access, please contact the Customer Experience team at customerexperience@embat.io so they can activate permissions for the specific user.
This applies to the Files section within the Payments module.
